Conference Committee Essential Tasks
President
Essential Tasks:
• Oversee the planning of the conference
• Propose conference objectives
• Recruit committee volunteers as necessary
• Facilitate committee meetings
• Approve expenditures
• Review contract with conference venue
• Approve and sign contract with Event Manager
• Review committee attendance records to verify eligibility for committee member benefits
• Approve the Conference Schedule
• Proof Save the Date Card, brochure and program booklet
• Send letters, post conference, to managers of committee members detailing the member's participation on the committee
• Sign thank you notes to accompany speaker and committee gifts/honoraria
• Send meeting minutes to chapter presidents
• Recommend successor or continue in current position
Position Requirements:
• Must be a Professional or Affiliate member of a participating New Hampshire HR chapter in good standing at the time of nomination or appointment
• Has demonstrated effective leadership and communication skills
• Has been a previous Committee Chair and has participated on the conference committee for at least two years
Vice President
Essential Tasks:
• Consistent attendance at regular GSHRC board and participant on the Succession Planning Committee
• Preparation in advance before regular committee meetings by reading and studying materials sent in advance regarding key actions the board is expected to take at the next meeting
• Preparing for presidency by gaining a thorough understanding of the GSHRC, board positions and their roles, organization financial activity and relationships to collaborating partners.
• Assist President with annual transition meeting, committee meetings and any other gathering which will help prepare his/her Board for the following year.
• Demonstrate ongoing interest in self-development and professional growth in the HR field
• Participate in an annual review of the GSHRC’s accomplishments and provide timely information for the year end committee evaluation.
• Uphold the Code of Professional Conduct and SHRM’s Code of Ethics
Position Requirements:
• Must be a Professional or Affiliate member of a participating New Hampshire HR chapter in good standing at the time of nomination or appointment
• Prior year held position as an Officer of the GSHRC
• Effective communication skills
• Actively involved in the GSHRC board
Secretary
Essential Tasks:
• Consistent attendance at regular committee meetings
• Preparation in advance before regular committee meetings by reading and studying materials sent in advance regarding key actions the board is expected to take at the next meeting
• Demonstrate ongoing interest in self-development and professional growth in the HR field
• Participate in an annual review of the GSHRC’s accomplishments and provide timely information for the year end committee evaluation.
• Uphold the Code of Professional Conduct and SHRM’s Code of Ethics
• Take accurate notes and attendance to be forwarded to the Conference Chairperson for review and subsequently to the entire committee for approval.

Treasurer
Essential Tasks:
• Consistent attendance at regular GSHRC board and finance committee meetings
• Preparation in advance before regular committee meetings by reading and studying materials sent in advance regarding key actions the board is expected to take at the next meeting
• Maintain records of all receipts and disbursements
- Timely payment of all GSHRC invoices
- Two “authorized signatures/officers” shall sign all checks disbursed for funds in excess of $500
- Timely bank deposits
• Prepares and publishes a monthly treasurer’s report for the “Board”
• Participate in an annual review of the GSHRC’s accomplishments and provide timely information for the year end committee evaluation.
• Uphold the Code of Professional Conduct and SHRM’s Code of Ethics
• Maintains ample supply of postage stamps
Position Requirements:
• Must be a Professional or Affiliate member of a participating New Hampshire HR chapter in good standing at the time of nomination or appointment
• Effective communication skills
• Must have been an active member on the GSHRC committee for the previous two years
• Working knowledge of financial reporting, basic accounting and the ability to understand profit and loss statements are highly desirable
Exhibitor Chair
Essential Tasks:
• Consistent attendance at the full GSHRC committee and Exhibitor Committee meetings
• Preparation in advance before regular committee meetings by reading and studying materials sent in advance regarding key actions the board is expected to take at the next meeting. Then deliver a monthly sub-committee update to the full committee.
• Demonstrate ongoing interest in self-development and professional growth in the HR field
• Participate in an annual review of the GSHRC’s accomplishments and provide timely information for the year end committee evaluation.
• Uphold the Code of Professional Conduct and SHRM’s Code of Ethics
• Be ultimately responsible for all preparation materials, communication and coordination of commitments for vendor clients. Also be present at the conference to insure, with your sub-committee, that clients are satisfied and are following the rules of procedure.
Hold sub-committee meetings when needed, in person or by teleconference
Position Requirements:
• Must be a Professional or Affiliate member of a participating New Hampshire HR chapter in good standing at the time of nomination or appointment
• Effective communication, management and motivational skills
• Actively involved in the GSHRC Exhibitor Committee and the full conference steering committee
• Provide creative feedback on the sub-committee’s strategies and be willing, if needed, to actively participate in soliciting potential prospects to secure sponsorships for booth slots at the upcoming conference
• Work with the event planner to insure communication and execution with vendor clients runs professionally and smoothly
HR Hero Chair
Essential Tasks:
• Consistent attendance at regular GSHRC board and HR Hero Committee meetings
• Preparation in advance before regular committee meetings by reading and studying materials sent in advance regarding key actions the board is expected to take at the next meeting
• Coordinate activities of the committee to ensure collaboration with relevant partners and organizations to ensure eligible candidates are identified and considered.
• Oversee and manage the process, documentation and selection of the HR Hero.
• Delegate various tasks to committee members to assist in completing the process in a timely and accurate manner.
• Demonstrate ongoing interest in self-development and professional growth in the HR field
• Participate in an annual review of the GSHRC’s accomplishments and provide timely information for the year-end committee evaluation.

• Responsible for managing and establishing systems for all data and information pertinent to the conference
• Demonstrate ongoing interest in self-development and professional growth in the HR field
• Participate in an annual review of the GSHRC’s accomplishments and provide timely information for the year end committee evaluation.

• Recommend day's schedule to committee
• Manage the speakers' budget
• Coordinate with treasurer and Event Manager for payment to speakers, including gift certificates as honoraria
• Recommend speakers and sessions to committee
• Coordinate with Event Manager re: contracts to speakers
• Send confirmation letters to selected speakers with details of the day's program, an audiovisual form, directions to the hotel, etc.
• Obtain speaker registration info, forward info to Event Manager
• Obtain speaker bios, forward to Event Manager
• Draft/prepare description paragraphs for brochure with Event Manager
• Proof Save the Date Card, brochure and program booklet
• Ensure receipt of presentation notes
• Develop Power Point presentation with Event Manager
• Recommend/purchase speaker gifts/wrappings
• Work with Event Manager on Speakers' Dinner to be held the evening before the conference.
• Work with Event Manager to assign breakout rooms
• Provide input on session evaluations
• Prepare conference report with recommendations
• Send thank you letters and session evaluations to speakers
• Recommend successor or continue in current position
PR/Marketing Chair
Essential Tasks:
• Consistent attendance at regular committee meetings
• Preparation in advance before regular committee meetings by reading and studying materials sent in advance regarding key actions the board is expected to take at the next meeting

• Recommend successor or continue in current position
Information Management Chair

Position Requirements:

• Work collaboratively with subcommittee to identify and fill subcommittee chair and subcommittee member positions.
• Act as the conduit and liaison between the subcommittee and GHRC steering committee
• Provide timely, accurate, and complete information to subcommittee members and others to assist in good decision making regarding recruitment, selection, and retention of committee candidates
• Work closely with the incoming GSHRC steering committee chair
Finance Chair
Essential Tasks:
• Consistent attendance at regular Finance committee meetings
• Preparation in advance before regular committee meetings by reading and studying materials sent in advance
• Review and discuss monthly financial reports prior to Board meeting.
• Assist in developing fiscal policies that will be recommended to the Board.
• Demonstrate ongoing interest in self-development and professional growth in the HR field
• Assist in developing and recommending the Annual Operating Budget
• Review Fiscal Policies and SOP on an annual basis
• Uphold the Code of Professional Conduct and SHRM’s Code of Ethics
Position Requirements:
• Must be a Professional or Affiliate member of a participating New Hampshire HR chapter in good standing at the time of nomination or appointment

• Actively involved in the GSHRC committee
• Basic knowledge of financial reporting, basic accounting and the ability to understand profit and loss statements is desirable
